Annex 3 to the Terms of Use

Data Retention, Export and Deletion Policy

1. Scope

This policy describes the storage, export and deletion of data related to the Account, Brands, CRM, campaigns, recordings and other resources in Socialu.ai.

2. Data export

In "Privacy & data" and "Company and brands" the Customer can generate a ZIP archive covering Account, Brand or Company data: separate JSON files for each type of data and media files up to 200 MB.

In addition, the following are available:

  • the history of a single lead in JSON;
  • the Brand profile in ZIP;
  • articles in HTML, Markdown or Word;
  • invoices in PDF;
  • SRT subtitles;
  • VCF business cards;
  • QR codes and library files.

CSV export is currently not available. The CRM supports CSV import from external sources, with deduplication. There is no data export in the administration panel.

3. 200 MB limit

The standard media export limit is 200 MB. If it makes it difficult to obtain data that must be made available under the law or the Agreement, the Customer may request another way of making the data available at office@socialu.ai.

4. Account deletion

After the Account has been effectively deleted, data in active production systems is deleted without undue delay, no later than within 14 days, subject to statutory exceptions.

Data in backups remains for a maximum of 30 days and is not used for current operations during that time; if a backup is restored, the applicable deletion instructions are re-applied.

Accounting documents and data needed for settlements and the defence of claims may be stored for the periods required or permitted by law. Data entrusted by the Customer is returned or deleted in accordance with the DPA and the Controller's decision.

6. Data portability

To the extent covered by the GDPR and the relevant provisions of the Data Act, Socialu fulfils the obligations relating to access, portability and switching service providers. The standard JSON export is a machine-readable format; however, providing a ZIP alone does not guarantee that all switching obligations are met.

7. How to delete your account and data — instructions

Delete your account and all data

  1. Sign in to Socialu.
  2. Go to Settings → Privacy & data and, in the Your account card, choose Delete account… and confirm by typing your email address. A company or a brand can be deleted in Settings → Company and brands (the company card at the top and the brand tiles below it: "⋯" → Delete brand).
  3. Before deleting, you can download a copy of your data (Data export).

Deletion happens after a 14-day grace period — you can cancel it during that time. Then we erase the account, content, files, platform tokens and data received from platforms. Data disappears from backups within a further 30 days at the latest.

Disconnect a social account

In the app: Settings → Social media channels → select the profile → Disconnect. Access tokens stop working immediately, and data received from that account is deleted within 7 days.

On the platform side (revoke Socialu's access):

Request by e-mail

If you cannot sign in, write to office@socialu.ai from the address linked to your account (subject: "Data deletion"). We may ask you to confirm your identity. We complete requests within 30 days at the latest, and delete data received from YouTube / Google within 7 days.

What remains after deletion

  • Invoices and payments (with the buyer details shown on the invoice: name, tax / EU VAT number, address, amounts, numbers, dates) — for 5 years from the end of the tax year, as required by tax law (Polish VAT Act, Art. 112). They stay without links to brands, posts or people and are deleted automatically when the period ends.
  • An anonymised security log entry (without your personal data) — for accountability.
  • Content already published on platforms stays there — delete it on the platform itself.
